1. Design and Approval Procedures
1.1 General
1.1.1 The Construction Drawings, Calculations and Specifications
The work shall be executed according to the drawings, calculations and technical specifications, approved by the authorities, Company and client, within the project schedule.
1.2 The Workplan
The workplan, which will be part of consultant’s bids, will after approval and job award to consultant, be the detailed job execution plan and be considered as a document.
Modifications to the workplan will only be allowed after receipt of Company’s written approval.
The workplan shall include a list of construction documents, indicating for each separate document it’s number, title, schedule of production and approval, key dates for the documents to be needed for building approval and procurement of materials, etc.
The workplan further includes the detailed construction planning, showing clearly start, duration and completion of the various building trades, the timing for authorities approval, etc.
The workplan contains also a specification indicating the coordination procedure and explaining, who will be responsible for the consultant for collection of information, the collection of approved construction documents according the approved schedule, the methods used to coordinate various disciplines and what actions are taken in case any planned milestone cannot be met.
1.3 The Building Application Documents
The documents, generated by the consultant and approved by client/Company will be issued to the authorities for building permit application. They will be further used to prepare the bid package for the selection of a building subcontractor.
1.4 The Production of Construction Documents
1.4.1 At job award, the consultant introduces to Company the coordinator, responsible for the collection of design information, coordination between various trades, consultants and Company, checking of construction documents and also responsible that comments to documents are consequently incorporated in the documents of various building trades.
The consultant shall, before starting the building design, consult the noise consultant assigned for the project.
At job award to the consultant, possibly not all detailed information of equipment and piping, to be installed inside buildings, will be available. The coordinator shall, before construction documents are to be issued “Released for construction” check with Company on such final equipment data.
He shall further agree with Company on required provisions, necessary to maintain construction schedule and construction costs.
1.4.2 All construction documents, produced by the consultant, shall be checked and signed by the coordinator, before being issued for comments/approval to Company.
Document packages, being issued for comments/approval shall contain all the documents required for a proper interpretation of the contents.
Company will collect comments from client and various disciplines in their organization as required and return the documents, marked-up with comments as necessary to the consultant. Comments shall be incorporated in the various applicable documents, checked by the coordinator and re-submitted to Company for comment/approval. After incorporation of all comments, Company will mark the documents as final documents. They may then be used for construction.
Documents, produced by building subcontractors, shall be checked by the coordinator against approved design and construction documents. Copies of such checked documents shall be issued to Company for information. During construction, building sub-contractor shall maintain a file of final construction documents. In case construction deviates from the drawings, contractor shall mark-up the subject documents.
The mark-up of deviations are to be signed by the job engineer. At completion of the job, consultant shall produce “As Built Drawings” based on the above file.
1.5 Building Disciplines Involved
1.5.1 - ARCHITECTURAL : involved in building layout, detailing and coordination with all building disciplines
1.5.2 - STRUCTURAL : involved in design and calculation of structural concrete/ steel for foundations and structures
1.5.3 - MECHANICAL : involved in design and calculation of heating, ventilation and air-conditioning systems as well as equipment inside buildings.
1.5.4 - ELECTRICAL : involved in lighting, earthing etc.
1.5.5 - INSTRUMENTATION : involved in instrumentation design and related building provisions.
1.5.6 - PIPING : involved in process installations.
1.5.7 - BUILDING EQUIPMENT: specialist vendors/consultants
1.6 Progress Control and Reporting
1.6.1 The consultant shall use a progress measuring system. Results shall be reported bi-weekly. The consultant shall submit his progress measuring and reporting system for Company’s approval, prior to commencing the work.
1.7 Changes in the Work
1.7.1 Reference is made to item 6.5 of the requisition.
1.8 Drafting Instructions1.8.1 Drafting Practice
Pre-printed polyester drawing vellums shall be used. Sizes of vellums as specified in standard ISO norm:
A1 594 x 841 mm
A2 420 x 594 mm
A3 297 x 420 mm
A4 210 x 297 mm
For filing reasons a 40 mm wide space shall be left blank at the left hand side of the drawing.
The space above the title block shall not be used for drafting.
All drawings shall be made in either ink or pencil.
The practice of making the drawing in ink and the lettering and/or dimensions in pencil is not allowed.
1.8.2 Line Thickness
The minimum line thickness in mm shall be as stated below:

Line spacing
The minimum distance between any two lines shall be 1 mm.
Lettering on drawings shall be with capital letters.

The lettering of main and sub-titles shall be minimum 4 mm high.
General notes on drawings shall be numbered with Arabic figures: 1, 2, 3 etc.
Reinforcement shall be drawn heavier than other lines.
All items which are not known or “firm” shall be marked “HOLD”.

If, on a drawing, only one scale is used, this scale shall be recorded in the title block. In the case of two scales, both shall be recorded in the little block and the main scale shall be shown once on the drawing.
When more than two scales are used, the scales shall be recorded under the subtitles on the drawing. “As noted” shall be recorded in the title block.
1.8.4 Dimensioning
Dimensions shall be in the metric system.
Dimensions and elevations shall be in millimeters.
For road layouts, deep sounding layouts and such like, meters shall be used.
1.8.5 Language
All drawings shall be made in the English language.
1.8.6 North Arrow
Company standard North arrow shall be used and shall be located in the top left hand corner of the drawing.

The direction of the north arrow on all drawings shall be the same as shown on the piping plotplan.
1.8.7 Elevations, Sections and Details
Elevations and sections shall be indicated with: A-A, B-B, etc.
Sections shall always be drawn horizontally.
Do not use the letters “I”, “J” and “O” or Q.
Sections shall be shaded lightly on the back of the drawing with a green pencil.
Details shall be indicated with: I, II, III, etc.
1.8.8 General Design and Drafting Requirements
All engineering designs and drawings shall be prepared on the basis of the information contained in this requisition together with referenced and/or attached documents.
Results of any computerized design work shall be submitted to Company, together with details of the programs used, the computer agency (where applicable) and copies of the input data.
All calculations shall be neatly laid out, contain sufficient descriptive text and include reference to all standards, specifications, codes of practice, rules, formulae and symbols used there-in.
Calculations shall be bound together in bookform in logical order. The front sheet of each set of calculations it to contain a Certificate of Design, with the following information:

Name, qualifications and Signature of the relevant Engineer carrying out the calculations.

1.8.9 Title Block
The title block of a drawing shall be according to the Clients/Company’s block and be completed in accordance with the example shown on the instruction drawings.
The following points shall be observed:
The height of the figures for drawing numbers should be for A1 size drawings 7 mm and not less than 5 mm for A2 and A3 size drawings.
Each drawings shall display a separate and unique drawing number:
(The use sheet numbers is restricted to drawings and documents of A3 and A4 format only).
Drawings numbers of cancelled drawing shall not be re-used.
Company will supply drawing numbers on receipt of the drafting schedule (schedule of drawings).
1.8.10 Calculations
Calculations shall be made in the English on pre-printed calculation sheets.
The use of sheet numbers is allowed, sheet numbers may run to a maximum of 999.
For clarity and standard uniformity, pre-printed index and cover sheets, supplied by Company shall be used.
1.8.11 Revisions to Drawings/Documents
Each drawing number shall be followed by a code letter indicating the revision code.
Every time a revision or modification is made the revision code-letter shall be changed.
The first issue of a drawing shall bear the issue code “0”, the first revision shall be indicated with a capital “A” the second with a capital “B” and so on.
(The letters “I”, “J”, “Q” and “O” shall not be used.).
Each numbered sheet must have its own revision code letter.
Description of the revision:
The date and description of the revision must be given in the title block, in the space reserved for it starting at the bottom line, to indicate the status (or value) of the issue.
The revisions shall be accurately described. “Revised as noted” is not an acceptable description, “but Revised as indicated thus: “ is acceptable, providing all revisions are indicated with the symbol and code .
The place on a drawing where a revision has been made shall be indicated by a triangle containing the appropriate revision code (A, B, etc.).
The revision shall be encircled on the back of the original in yellow pencil.
The encircling and triangle codes should be erased each time a new revision is made.
1.8.12 Material Take-off
Material take-off shall appear on the lead drawing of each set of drawings.
Material take-off “stickers”, supplied by Company, shall be used for this purpose.
The following materials shall be quantified/taken-off:

“Cast-in” steel items (other than reinforcement).
Remainder material take-off may be presented on separate lists.
