1. Purpose

The purpose of this procedure is to establish the format and content of the project progress report. This procedure shall be applicable to all projects, unless otherwise directed by the Manager of Projects upon agreement with the client.

2. General

2.1 Project progress reports are issued monthly throughout the duration of the project to advise the client and Company management of the project status.

2.2 Project progress reports are a presentation of Company's efforts. They are to be concise, complete and timely.

2.3 The progress report format as exampled in this procedure is to be followed on all projects. Modifications required by contractual conditions or requests by the client require Company management approval.

2.4 The progress report shall be written in such a way that it serves the purpose of a management report. Narratives shall be brief and avoid too many details. Substantiating details should be included by way of attachments.

3. Responsibilities

3.1 The Project Manager is responsible for the preparation and issue of the progress report. He may delegate this task to the Project Controls Manager or other task force assignee.

3.2 Each Project Team Member is responsible for providing input data for the progress report as requested by the Project Manager or his delegate.

3.3 Several specific parts of the progress report shall be prepared by the following designated project team members, but responsibilities may vary depending on project size. Such variations shall be determined and communicated by the Project Manager at the outset of the project.

4. Procedure

4.1 The progress report shall be issued no later than five (5) working days after the monthly cut-off date. The first report shall be issued one month after the work has commenced. Sections are included as appropriate for the phase of the work.

4.2 The format and contents of a standard progress report for an EPC project is given in Attachment 1 hereto.

4.3 Ahead of report preparation, the Project Manager shall nominate appropriate project team members to initiate the preparation of their input to the report.

4.4 Nominated project team members shall submit their input to the Project Manager for comments and incorporation of these in the final report.

4.5 The Project Manager shall arrange compilation of the finished report and its distribution in accordance with the project distribution schedule (ref.6.1).

4.6 The original report shall be filed in the project file (ref.6.2 and 6.3).
