1. General

1.1 Supplementing Procedure

This procedure supplements the following existing procedures:

CM-MA-804      Assignment of Personnel to Job Location

CM-MA-818      Assignment to Affiliate Offices

2. Policy

The reimbursement of schooling costs for children of assigned employees is intended to compensate for costs in excess of those normally incurred in the Permanent Residence, based on the following assumptions:

  • Schooling in the Permanent Residence up to university, college or technical school level is virtually free, except for special items such as extra curricular activities and school meal charges.
  • University, college or technical school fees, if any, in the Permanent Residence are entirely borne by the parents.

3. Acceptable School

The kindergarten, primary and secondary school in the country of assignment is considered acceptable if the following conditions are met:

  • It offers tuition at a level and quality needed;
  • The language of instruction will not create special problems;
  • Cultural differences will be minor;
  • Curriculum is similar to corresponding level in the Permanent Residence.

4. Guidelines for Reimbursement

The following cases can be distinguished:

4.1 Acceptable School at Foreign Assignment Location

The following costs will be reimbursed:

  • Tuition fees
  • Other schooling costs which are additional to those in the Permanent Residence, including commuting

Parents will bear the costs of lunches, extra-curricular activities, school uniforms, special clothing.

4.2 Acceptable School at Foreign Assignment Location, but not within commuting distance

In addition to the costs stated in paragraph 4.1 above, the following costs will be reimbursed:

  • Costs of lodging, laundry and travel to and from Job Residence on school holidays and weekends, if such travel costs have the prior approval from the Company.

Parents will also bear cost of food.

4.3 No Acceptable School at Foreign Assignment Location - Child stays with friends or relatives in Permanent Residence country and goes to public school

The following costs will be reimbursed:

  • Lodging allowance
  • Annual round trip by air to visit parents

Parents will bear all other costs.

4.4 No Acceptable School at Foreign Assignment Location - Child goes to boarding school in Permanent Residence country or third country

The following costs will be reimbursed:

  • Tuition fees to a fixed amount defined for each particular case
  • Lodging
  • Annual round trip by air to visit parents.

Parents will bear all other costs.

5. Alternative Conditions

For any of the following alternative conditions, the employee needs the prior approval of the Company.

5.1 If case 4.1 applies but parents choose case 4.3, reimbursement will be as for case 4.3.

5.2 If case 4.1 applies but parents choose case 4.4, the following costs will be reimbursed:

  • Tuition fees up to a maximum charged by an Acceptable School at foreign assignment location
  • Lodging allowance
  • Annual round trip by air to visit parents

5.3 If case 4.2 applies but parents choose case 4.3, reimbursement be as for case 4.3.

5.4 If case 4.2 applies but parents choose case 4.4, the following cost will be reimbursed:

  • Tuition fees up to a maximum charged by an acceptable school a foreign assignment location
  • Lodging allowance
  • Annual round trip by air to visit parents

5.5 If employees do not use any of the above benefits for any reason, no compensation in cash will be given in lieu.

6. College, University, Technical School

Parents will bear all costs related to enrollment in college, university and technical school in whatever country.

The cost will be reimbursed of an annual round trip by air to visit parents for each student child currently enrolled full time in recognized institutions of higher learning. This does not apply to wives and children of students.
