1. Purpose

To establish the methods for the development, approval and distribution of organization charts of Company, including the European operations centered in The Hague.

2. General

Company develops and maintains approved, current organization charts for Company and Company Europe.

To comply with the approval requirement of this policy, all department organization charts must be dated and carry the signature of the senior person shown on the chart and his immediate supervisor.

3. Responsibilities

The General Manager and the Department Managers are responsible for ensuring compliance with this policy, depending on the organization chart under consideration.

The Manager Marketing Services is responsible for the administration, distribution and filing of approved organization charts.

4. Procedure

4.1 General

The General Manager shall review the full set of company organization charts at least twice per year.

The General Manager and Department Managers shall review the organization chart for their area of responsibility whenever changes occur, but at least on a semi-annual basis, to ensure that it properly documents their organization.

If, due to changes in personnel, work assignments, reporting relationships, transfers, title changes, etc., a chart is no longer representative of the organization, the General Manager/Department Manager shall submit updated information to the Manager Marketing Services.

The Manager Marketing Services shall prepare a revised organization chart and process it through the originating Department Manager and the General Manager for approval.

4.2 Internal Approval

The originating Department Manager shall sign and date the department administrative organization chart and return it to the Manager Marketing Services. The Manager Marketing Services shall submit the Departmental organization charts to the General Manager for approval, dating and signature.

The company organization charts shall be approved, dated and signed by the General Manager and his superior.
